What this site collects

This page covers proposalxl.com. It explains what we collect, where it is kept and how to reach us about it.

When you contact us

The “Book a demo” form asks for your name, work email and firm, plus a few optional answers: firm size, proposals per year, the kind of work you do and your disciplines. With it we record the page you came from, any campaign tags in the link, and your browser’s user agent. This is stored in a Cloudflare D1 database and used to reply to you and prepare your demo or overview.

Proposals you upload

You can attach up to 3 files (PDF or Word, 30 MB each). They are stored in Cloudflare R2 and used only to prepare your demo. Attaching files is optional. Files you upload are encrypted in transit and at rest, and are only accessed by our team to prepare your demo.

Booking a demo

The calendar is provided by Cal.com. When it opens, your name, email and answers are passed to Cal.com to prefill the booking. Cal.com processes the booking under its own privacy policy, and we receive the booking details.

Internal notification

When you submit the form, our team gets a Slack message with your name, firm, email, answers and the names of any files.

Remembering you on this browser

After you submit, your name, email, firm and a reference to your request are saved in this browser’s local storage, so you don’t have to type them again to book a demo. “Not you? Start over” in the calendar clears it, and so does clearing your browser’s site data.

Site analytics

We measure how the page is used with our own first-party analytics: page views, scroll depth, time engaged, which buttons are clicked and any campaign tags in the link. Visits are grouped by a random ID kept in your browser’s local storage. If part of the page fails to load, we also record a short error report with your browser type and screen size. The data is stored in Cloudflare Workers Analytics Engine. We don’t use cookies, advertising trackers or email-open pixels.

Hosting and fonts

The site runs on Cloudflare, which processes standard request data such as IP addresses to serve it. Fonts are loaded from Google Fonts, so your browser requests them from Google. Your information is stored with Cloudflare, which may process it in data centers outside your country.

How long we keep it, and who sees it

We keep your details and any files you upload for up to 24 months, or until you ask us to delete them, whichever comes first.

We don’t sell your information, and we don’t share it with anyone except the services we use to run this site (listed above).
